Job Description

  • Oryx Energies is one of Africa’s leading LPG distributors within the LPG Industry.  We are a Swiss Multinational company with a leading footprint in Africa.
  • We are currently seeking a professional and experienced Sales Adminstrator to join our dynamic Commercial Team.

Duties and Responsibilities 

  • Primary focus of the job is administrative support for the commercial team;
  • Contract Management – manage contract database (active, dormant, expired, terminated), expiry diary, filing, scanning, internal signatories;
  • New account – collating documentation & co-ordination including contract management;
  • Credit Limit Application – capturing onto portal & document co-ordination; management of expiry CLA & KYC database;
  • Processing monthly credit & debit notes;
  • Rebate management – update rebate register with active rebate cards;
  • Sales reports – update, circulate & consolidate feedback;
  • Sales Analysis – participating in weekly sales, dropped orders, cylinder management meetings;
  • Quarterly Account Manager (FBAM) visit plan consolidation;
  • Monthly call report management (previous months visitations documenting key topics for action);
  • Daily bulk planning meeting (prompt orders) when required;
  • Pro-forma invoicing (shared responsibility with Customer Service Centre);
  • Understanding in-month sales forecast (LE) & projected sales volumes (nomination) processes;
  • Manage the distributor scorecard – follow up, consolidate & publish;
  • Organize and minute monthly Commercial Team meetings & quarterly reviews;
  • Ensure monthly data checks are done and accurate on business intelligence systems (QV);
  • Compile and Distribute internal reports for commercial reviews;
  • Compile management reports in line with the department requirements and time lines;
  • Asset management co-ordination – documentation of asset verifications & consolidation;
  • Cylinder Management– update cylinder allocations register & reconciliate with CSC;
  • Manage company & customer WhatsApp communication groups;
  • Ad-hoc responsibilities;

Requirements

  • Ideally be a graduate or diploma calibre in either sales or back office administration.
  • Minimum Matric Qualification and a Sales & Marketing Diploma or related.
