Job Description

  • Electech Power Solutions (Pty) Ltd is looking for a suitable candidate to fill the role of Office Administrator for their Electech Metering Solutions branch in Gauteng. This incumbent will be reporting to the General Manager.
  • The main function of this position is to organise the branch’s day to day operations. To provide clerical support to management and employees, and co-ordinate daily administrative activities including paying and reconciling creditors accounts.

Duties and Responsibilities

  • Manage the reception and switchboard
  • Complete supplier applications and send to head office
  • Once signed, send to the supplier
  • Request stamped letter from bank to confirm banking details for suppliers
  • Complete new beneficiary form to load in Standard Bank
  • Complete credit limit form for changes to be made in Standard Bank
  • Match invoice, pod, grn and post invoices
  • Check unmatched order report and request paperwork from divisions / branches where necessary
  • Prepare EFT requisition in excel and necessary paperwork to be attached
  • Request documents from suppliers
  • Filing of foreign creditors, other invoices, credit notes, statements and recons
  • Download Telkom invoices, prepare recon, post and pay
  • Prepare foreign creditors paperwork
  • Post invoices and credit notes
  • Prepare and scan paperwork for payments to be made in respect of foreign creditors
  • Complete necessary excel spreadsheets for supplier payments
  • Other ad-hoc accounts payable relevant assistance where necessary
  • Order stationery and supplies
  • Manage cleaning staff, ordering and controlling consumables

Requirements

  • A valid Grade 12 certificate is a MUST
  • A Financial / Bookkeeping certificate is a ADVANTAGEOUS
  • A minimum of 3 years switchboard experience
  • Must be computer literate and be proficient in MS Office
  • Intermediate/Advance Excel skills to work on complex data bases/customer pricing schedules
  • Have good communication skills both written and verbal    
  • Proven attendance track record
  • Excellent time management skills to ensure tender deadlines are met
  • Work under minimal supervision occasionally to meet objectives and key performance areas
  • Meticulous and highly accurate with calculations
  • Neat, well organized, traceable filing skills to maintain tender records and data
  • Ability to multitask and co-ordinate workflow in a highly stressful environment with existing team to achieve objectives
  • Articulate, presentable and professional at all times
