Job Purpose
Resource plan the maintenance team work orders to team members. Carry out administrative tasks for manager and Team. Compile reports from the Facilities system to track work orders and progress. Maintain Stock levels in the store room and store management of existing and new stock received. Purchasing stock from suppliers for the store and work orders.

Key Outputs may include but are not limited to
▪ Administrative duties
▪ Generate reports from the Software system for the team
▪ Capture statistical information from data bases
▪ Track training records of staff
▪ Capture data for the ISO 14000 accreditation
▪ Assist the team with administrative tasks
▪ Projects and moves administration.
▪ Assist with General Administration and task from Manager
▪ Track queries and escalate
▪ Vehicle Administration
▪ Credit card recon
▪ Overtime recon
▪ Capturing data

▪ Financial Aspect
▪ Assist with Budgeting (forecasting, track expenditure, variance, saving initiatives)
▪ Quotations and approvals (obtaining, approvals, vetting, signing off)
▪ Process invoices and ensure the amounts are correct and allocated properly
▪ Capex submission (quotations, motivations, business case)
▪ Purchasing of stock and cost comparison with different supplier

Requirements
▪ Grade 12

Competencies
▪ Good communication
▪ Good administrative skills
▪ Understanding of Microsoft Office products, excel, word and outlook
▪ Data capturing – attention to details
▪ Preferred (would be advantageous)
▪ Worked in the Job card management environment
▪ Learning in the Facilities field
▪ Working experience in tasking team with work orders
