Key Responsibilities include but not limited to the following:

  • Receives, sorts and processes documents in accordance with each specific client requirement
  • Sort documents by removing staples, pins and clips as required
  • Apply document barcodes to specified documents
  • Prep/Index according to client requirements – accuracy and attention to detail is essential
  • Link documents correctly to file/file dividers and temp folder
  • Image documents as per client requirement
  • Check that the images are the right page up, blank pages are deleted, quality of image, number of pages correspond
  • Quality control and verifying of indexing and imaging. Ensuring that all capturing, indexing, and imaging details as per each specific client have been 100% correctly processed
  • Correction of any errors
  • Logging and reporting of errors made for remedial training of indexing and imaging staff
  • Scan file/folder into e-Scanner locations for image transfer
  • Print required picklist once images have transferred
  • Scan file into the e-Tracker location for tracking purposes
  • Print picklist for transfer to Vault location
  • Interfiling and ensuring that all documents in the folder have been scanned and linked to the file.
  • Cross reference check that the temp folder is clear/empty on the system.
  • Creation of new files
  • Releases processes
  • Mail room functions – dispatching and receiving files
  • Receiving and dispatching acknowledgements and distribution to various divisions
  • Monitoring and processing all archive storage and request requirements
  • Flexibility to perform in various functions, various departments, and various locations
  • Whilst attention to accuracy is vitally important – efficiency and processing volumes achieved daily are as important
  • Maintaining client confidentiality – adhering to all POPI requirements
  • Ensuring that SLA requirements are met by managing work time efficiently
  • Adhere to work site policies, procedures, and safety requirements
  • Communicate to the Team Leaders on matters that need to be addressed or in cases of instructions that are not clear.

Minimum Qualifications, Experience and Knowledge:

  • Grade 12
  • SA citizens
  • Computer keyboard literate
  • Must be able to type quickly and accurately
  • Ability to pay attention to detail
  • Quality Driven
  • Good Understanding and ability to follow process requirements
  • Ability to operate efficiently under pressure – and maintain required daily processing stats and to meet client SLA’s
  • Strong sense of ownership and pride in work output
  • Good diligent time keeping
