Administration Assistant – Paper (P12)
Sappi Ngodwana Mill requires an Administrative Assistant for the Paper Department to provide an effective administration and support function to the line manager.
This role reports to the Head of the Department.

The main responsibilities of this job are:
• View daily calendar activities and discuss with the line manager
• View daily e-mails and prioritise as per line manager boundaries set and agreed
• Schedule meetings
• Plan daily, weekly, and monthly activities/events
• Update reports and circulate on time
• Coordinate events (small projects, VIP visits, Mill review, departmental functions, etc.)
• Manage notice boards and general information
• Manage stationery
• Manage store requisitions
• Coordinate and perform the management travel arrangements
• Perform minute taking in meetings as required
• Complete the relevant HR forms and information when required
• Complete service acceptance on SAP
• Perform time management in the department
• Assist with costing and budgets
• Draw BW reports when required
• Raise PM Notifications
• Raise RFS (request for services)
• Direct purchase requisitions to the various responsible persons
• Maintain BBS data input
• Ensure required computer skills are in place to deliver effective and professional service to line manager
• Ensure multi-skilling of own role to ensure capacity when an employee is away from the office
• Evacuation drills
• Conduct BBS observations on a monthly basis
• Apply cleaning and organising practices in the area of responsibility (5 S)
• Raise SHEQ deviations and SHEQ tasks as required
• Make coffee/tea etc on the manager’s request
• Arrange and fetch food from the canteen as requested
• Manage the capturing of waste usage and issuing of the monthly report

The ideal candidate should have:
– Grade 12
– NQF Level 5 Certificate Administration will be advantageous
– 3 Years’ Experience in Administration
